1. Ask About Travel Costs in Your Budget

When budgeting for your destination wedding, it’s essential to factor in travel expenses. Some planners wrap air travel costs into their overall pricing, while others separate these fees. As Dana of Dana Cubbage Weddings says, “When I prepare custom proposals for destination wedding clients, I always include my travel costs, including air travel, in the amount I present to couples.” Since air travel is handled differently across vendors, it is wise to double-check with them before signing the contract so there are no surprises.

2. Book Flights Early and Arrive Ahead of Time

The unpredictability of air travel makes it crucial to plan ahead. Victoria Morris, Creative Director of Sophisticated Weddings Italy, recommends, “Booking flights well in advance and planning to arrive at least three days before the wedding to account for any possible delays.” This buffer time will give you peace of mind and allow you to settle in before the festivities begin.

Not all airlines are created equal. Dana Arnold of Destinations with Dana suggests choosing airlines with strong reputations for reliability, like Delta or United. “Budget airlines like Frontier and Spirit are known to have the most unexplained last-minute cancellations,” she warns. It might be worth the extra cost to ensure your journey is as smooth as possible.

4. Carry Wedding Attire as Carry-on Luggage

Your wedding attire is one of the most important aspects of your day, so it’s vital to keep it safe. Taryn Stark Wyant advises, “We always encourage our brides to bring their gowns in the cabin with them when traveling.” Many airlines will allow you to hang your dress in a special compartment, reducing the risk of loss or damage. Call ahead of time to ask if your airline offers this.

Given the uncertainty of air travel, Deborah Kugler of OFFICIALÉ says, “Securing travel insurance is a must-have in today’s unpredictable times.”

6. Leverage Planner Relationships for Group Rates

If you have a large wedding party, working with a planner who has established relationships with airlines can save you money. Transporting welcome gifts can be cumbersome, so consider shipping them directly to your venue. Reneille of Gian Events suggests, “Use a reputable courier service that offers tracking and insurance options.” This not only reduces your baggage but also ensures your gifts arrive safely.

Deborah Kugler of OFFICIALÉ adds, “If you are assembling gift bags and items from different parts of the world in your destination, it is always a good idea to be transparent with your planner about needing storage for your items.”

8. Use Technology to Track Your Luggage

With lost luggage being a common issue, using technology can help. Dana of Destinations with Dana recommends, “Add an AirTag into each of your luggage and make sure you name it.” This allows you to track your bags in real time and reduces the stress of misplaced luggage.

9. Utilize VIP Airport Services

For a luxurious and stress-free travel experience, consider VIP airport services. Reneille of Gian Events notes, “These services often include expedited security checks, access to private lounges, and personal assistance with luggage and navigation.” It’s an investment in convenience that can make your journey much more enjoyable.

As a frequent traveller, Maricarmen of Maricarmen Maffioli, says it pays to earn status with an airline. “If you travel often, invest in a credit card that provides airline lounges. These are the most comfortable way to travel.”

10. Plan for Emergencies

No one wants to think about worst-case scenarios, but it’s better to be safe than sorry. RebeccaMarie Bierko of RebeccaMarie Photography advises, “Always arrive two or three days before the rehearsal dinner and wedding day and to have medical insurance for travel in case you get sick.” Being prepared for emergencies ensures you can focus on your celebration, knowing you’re covered.

Final Pieces of Advice

Kayla of Kayla Kollection shares one essential for comfortability on the plane: “Wearing compression socks can be a game-changer for long flights, as they help with circulation and reduce swelling.”

We would be remiss not to mention a top concern of couples: What if your checked bag doesn’t arrive at your destination? “Consider splitting your clothing between your hold (carry-on) luggage and your partner’s,” Victoria Morris of Sophisticated Weddings Italy advises, “so if a suitcase is misplaced, you’ll both still have clothes to wear while waiting for the suitcase to make its way back to you.”
