When I started the planning process for my destination wedding, all I could think about was how I was going to make the decor and design ideas I’d added to my wedding Pinterest board over almost a decade come to life. I found out the hard way, there’s Pinterest… and then there’s reality. Were the designs I pinned totally out of the question? No, BUT I had to take into account the realities: time, budget, and logistics. It didn’t mean I gave up on my dreams, but that I had to be a bit more strategic. So, to help you bridge the gap between your Pinterest fantasy and your wedded reality, we’re sharing steps to strategically manage your budget, logistics, and design efforts.

Set the Budget First & Add a Buffer
Define your maximum, non-negotiable budget before booking anything. Automatically allocate a 10-15% contingency buffer to cover international fees, exchange rate shifts, and unexpected vendor costs.
Curate Your Guest List Carefully
Keeping your guest list to a minimum saves thousands on catering and rentals, allowing you to invest in higher-quality decor for a smaller group.


Consider Off-Peak Timing
If you plan your wedding during your destination’s shoulder season or mid-week instead of a weekend day, this can minimize travel costs, reduce venue fees, and increase vendor availability.

Focus on Focal Points, Not Filler
Allocate the majority of your decor budget to the 20% of the space where photos are taken (e.g., the ceremony backdrop and the head table). Keep everything else simple.
Swap Materials for Local Texture
Instead of importing specific colors or fabrics, embrace local, easily sourced textures. For example, a wedding in Tulum might lean towards rattan, raw linen, woven grasses, or native stone. This grounds your design in the location and saves shipping fees.

Invest in Lighting
Shift some of your reception decor budget from complex tablescapes to evening lighting (string lights, uplighting, and candles). Lighting is the cheapest and most transformative “decor” element for your reception.
Expect Mishaps with Shipping Decor
Do not ship furniture, glassware, or large quantities of specialty goods. Trust your local planner to source these.
