While warm-weather destinations offer breathtaking scenery and a laid-back vibe, they also come with soaring temperatures and intense humidity. To ensure your big day feels as good as it looks, here’s how top industry pros recommend keeping everyone cool, hydrated, and happy from sunrise to the final dance.

In a hot climate, hydration isn’t just helpful—it’s essential. Wedding planner Reneille Velez of Gian Events recommends kicking things off with a welcome drink that sets the mood: “A stylish welcome beverage station with fruit-infused water or mocktails always sets the tone and keeps guests refreshed from the start.” Going a step further, photographer Rebecca Marie suggests “electrolyte beverages” as a smart way to support hydration during intense heat. And for something a little more high-tech, Deborah Kugler, founder of OFFICIÀLÉ, advises including “hydration patches—discreet, wearable, and included in guest or bridal party welcome kits to support steady energy and fluid balance.”

Incorporate Cooling Moments with Style
When planning your wedding day timeline and layout, think of ways to help guests cool down without disrupting the aesthetic. “Cooling towel service—lightly scented with essential oils and offered upon guest arrival,” says Deborah Kugler, adds both a luxurious and practical touch. Ali Phillips of Engaging Events by Ali suggests prepping FabbPro Oshibori towels from Amazon or Walmart: “Pre-packaged and can be placed in the refrigerator 2 hours before use to make sure they are really cool.” Meanwhile, planner Barbara Vanni of Bweddings & Events emphasizes thoughtful placement: “Portable fans placed near lounge areas, misting stations tucked under greenery, and customized hand fans that double as your ceremony program—all these cooling moments help guests stay refreshed while adding flair to the event.”

Offer On-Site Wellness Amenities
To take guest comfort to the next level, consider on-site wellness experiences. “We love when resorts offer IV drip services on-site, especially for destination weddings,” says Reneille. “It’s the perfect luxury wellness touch—replenishing hydration and helping everyone recover after a night of dancing under the stars.” Even if your resort or venue doesn’t offer this service, mobile IV services can come to your event and ensure everyone is hydrated and ready to party

Think Ahead About Shade
No matter how picturesque your venue may be, shade is non-negotiable. “Provide shade whenever possible,” advises planner Sandra Armenteros. “This could be in the form of parasols, tents, or even large trees.” Ali Phillips adds that it’s a good idea to scout the venue at the time of day you’ll be hosting your event: “If there’s not shade at all, I do recommend getting some outdoor umbrellas to provide some shaded areas. Also your musicians will most likely require to be in the shade, so I recommend an umbrella for them!”
Frank Carlisi, Director of Design at Bold Catering & Design, emphasizes that shade can—and should—be beautiful as well as functional. “We love decor that earns its keep. For outdoor events, we bring in oversized greenery and tall florals to block the sun and define the space. At one wedding, we hung floral installations from a pergola to diffuse sunlight while adding a romantic focal point. Patterned parasols, natural textiles, soft drapes—it’s all part of the vibe and the climate plan.”

Plan for Long-Lasting Makeup
Brides often underestimate how heat can affect their wedding-day look. Rebecca recommends hiring a makeup artist to stay on-site for touch-ups: “It helps the bride to refresh and stay picture-ready.” If that’s not an option, she suggests investing in the right products and a midday refresh: “Use NYX makeup ‘The Face Glue Gripping Primer, with Up To 24HR Wear and blotting linens.”

Choose the Right Time of Day
When it comes to beating the heat, timing is everything. “Always try to avoid midday sun, generally around 11–3pm,” advises Megan. “Aim for that late afternoon! Consider a sunset ceremony and really lean into that golden hour ambiance.” Sandra adds another creative solution: “I really love early morning weddings followed by brunch, then a break for guests to rest by the pool or engage in a fun activity, before everyone coming together again in the evening to dine and dance the night away.” Don’t forget to look after your vendors, too—Barbara notes, “Give vendors regular breaks, especially if they’re working outdoors in peak sun. A bit of breathing room can boost their energy and performance, and keep them hydrated with water and a shaded working area!”
Serve Smart, Seasonal Cuisine
When the sun is blazing and guests are dressed in their finest, the last thing anyone wants is a heavy, out-of-place meal. That’s why menu design should reflect both the climate and the vibe. “Nobody wants beef bourguignon in July,” says Frank Carlisi. “We focus on light, seasonal menus—think grilled peach skewers, citrusy ceviche cups, heirloom tomato salads. We also love a frozen cocktail moment. The key is: keep it light, keep it flowing.” Refreshing flavors and chilled bites not only feel appropriate in the heat, but also keep guests energized.
